Privacy notice on the processing of personal data (GDPR)

1. Data controller

The controller of your personal data is ArtCore APS - ETS, with registered office at the address indicated above. For any request relating to data protection, you may contact the association by email at segreteria@artcorehub.org.

2. Categories of personal data processed

ArtCore APS - ETS may process the following categories of personal data:

• Identification and contact data (name, surname, email address, telephone number, tax identification code);
• Data relating to membership activities (registration, participation in courses or events, membership fees);
• Banking data required for donations or membership fees where applicable;
• Images, photographs or video recordings taken during events promoted by the association;
• Information on artistic interests or preferences, where voluntarily provided by data subjects.

The association does not process data relating to minors.

3. Purposes and legal basis of processing

Personal data are collected and processed for the following purposes:

• Management of the membership relationship and fulfilment of statutory or legal obligations connected with the association's activities (legal basis: Article 6(1)(b) GDPR);
• Sending informational and promotional communications about activities, events and cultural initiatives promoted by ArtCore APS - ETS (legal basis: legitimate interests of the association, Article 6(1)(f) GDPR);
• Accounting and administrative management, including donations and sponsorships (legal basis: legal obligation, Article 6(1)(c) GDPR);
• Publication of images or videos on official channels (website, social networks) for documentation or promotion of the association's activities, in accordance with this notice and any informed consent obtained.

4. Processing methods

Data are processed using paper and electronic means in a lawful, fair and transparent manner, ensuring security, confidentiality and integrity. Appropriate technical and organisational measures are implemented to prevent loss, unauthorised access, misuse or unlawful disclosure.

5. Disclosure and sharing of data

Personal data may be disclosed only to:

• Staff and volunteers of the association, to the extent necessary to carry out its activities;
• Digital service providers (e.g. Google Workspace, newsletter platforms or social networks) located within the European Union;
• Public or private bodies where required by law.

No data are transferred outside the European Union.

6. Data retention

Personal data are retained for as long as necessary to manage the membership relationship and in any case no longer than removal from the membership register or ten years for accounting or administrative purposes only, unless longer retention is required by law.

7. Rights of data subjects

Data subjects may exercise the rights provided for in Articles 15–22 of Regulation (EU) 2016/679 (access, rectification, erasure, restriction, objection, data portability) by writing to segreteria@artcorehub.org. The association undertakes to respond within the time limits set by the GDPR.

8. Cookies and use of the website

The website of ArtCore APS - ETS uses only technical cookies that are strictly necessary for the proper functioning of the platform and contact forms to communicate with the association. Profiling cookies and third-party statistical analytics tools are not used.

9. Updates to this notice

This notice may be updated periodically to reflect legislative or organisational changes. Any updates will be published on the association's official website or communicated to members through the usual channels.
